Summary:
Reporting to the Senior Events Manager, the Trade Show and Events Planner is responsible for - trade show and event project management - development and successful execution of national and regional conferences and tradeshows - product launch events and specialized customer events as well as internal meetings and or events held for employees. Such responsibilities include sourcing venues, negotiating contracts and oversee registration sites as well as day to day project management of events and coordination with internal and external teams. Some, but not all events, will also require the Tradeshow and Events planner to work on site during the event or congress itself. This position will include significant customer communications as well as collaboration with internal staff.
Responsibilities:
Plan various corporate events such events include but not limited to Regional/National trade show, Product Campaign Launch Event(s), national conferences/tradeshows like AAA Conference, Specialized Customer and Speaker Series Events.
Forecast budget of tradeshow/events/trainings/seminars to prepare budget requirements based on annual budget, schedule expenditures, analyze variances
Project management and development of corporate events:
Create and maintain tradeshow/conference calendar
Plan and schedule project timelines and define project tasks and requirements
Source event/training venues
Negotiate venue contract terms with venues and vendors
Monitor and lead with weekly/bi-weekly reports to inform on status updates and progress to the team.
Provide direction and support to team
Coordinate with various departments and external source to provide implementation of necessities to enable successful outcome of events.
Coordinate with IT for technical support at shows/conferences/events
Coordinate with AP to manage invoice tracking and payment
Coordinate with other members of the Marketing Department for promotional/collateral materials for trade shows, events, and customer notifications/communications.
Design, collaborate and coordinate with the production of rental exhibit, including custom graphics
Collaborate with venue to ensure meeting room/F&B and A/V requirements are prepared and meet expectations.
Organize meeting space, customer and employee housing, breakout rooms, registration, manage speaker presentations and silent auction donations
Own maintenance and communication of pre-and-post coordination of on and off-site of all events.
Complete and submit Sponsorship Registration forms
Maintain inventory of booth equipment and booth supplies for each show.
Manage registration site builds for events and trainings
Management of all tradeshow & event logistics.
Dissemination of trade show information to all Sales Staff and Trainers including periodic updates.
Manage ad-hoc projects
Onsite event support including pre-event set up, in event support and post event wrap-up activities
Requirements:
Bachelor’s degree preferred
Ideally -5 years’ experience in the event and tradeshow management space
Availability for 10–20% travel is required, including occasional weekends. Travel is seasonal and typically heavier during the spring and fall.
Excellent oral and written communication skills
Must be familiar and efficient with Tradeshow coordination and planning
Must have strong analytical skills and the ability to think strategically
Must have strong interpersonal skills, maturity, patience, and good judgement; demonstrates a positive can-do attitude
Experience with Salesforce and Aventri preferred
